Waiver of Liability & Medical Consent

In consideration of my child’s attendance and participation in programs offered by Panda Mandarin Language Programs Inc. (trade name Panda Mandarin), I, the undersigned, acknowledge and agree as follows:

Assumption of Risk

I understand that participation in classes and related activities (including but not limited to sports, movement, or outdoor activities) involves inherent risks of injury. I voluntarily assume all such risks on behalf of my child.
Release of Liability

I agree that Panda Mandarin, its directors, officers, employees, and agents shall not be held liable for any injury to my child, or any loss or damage to my child’s personal property, arising from or related to participation in these activities, except where such injury, loss, or damage is the direct result of the sole negligence of Panda Mandarin or its representatives while acting within the scope of their duties.
Medical Conditions

I am responsible for informing Panda Mandarin in writing of any medical conditions, allergies, or special needs that my child has at the time of registration or develops prior to participation.
Emergency Medical Treatment

In the event of a medical emergency, I authorize Panda Mandarin staff to seek and consent to medical care on behalf of my child, including emergency treatment, hospitalization, anesthesia, or surgery, as deemed necessary by a licensed physician. I accept responsibility for any associated costs.

Policies

Refund Policy

We offer refunds and credits under the following circumstances:

1. Before a Program Starts

Refunds before the start date are subject to the specific refund policy of the program type (e.g., March Break/Winter/Summer Camps, Private/Semi-Private Tutoring, In-Person Classes, Virtual Classes, Drop-In Programs). Please review the refund details provided for the program you are registering for.

2. Extenuating Circumstances (Health, Family, Behavioural)

Families may request a withdrawal and refund/credit due to health reasons, exceptional circumstances, or family emergencies.
To request a refund, please email info@pandamandarin.ca with details of your situation.
School credit may be issued for cancellations made within 14 days prior to the start of the program, at Panda Mandarin’s discretion. Credits are transferable within the family.
Refunds, where approved, will be issued on a pro-rated basis and may be subject to a $50 administrative fee. Refunds typically take 4–6 weeks to process.
If a family chooses a credit instead of a refund, the $50 administrative fee will not apply.

Student Behaviour

Panda Mandarin is committed to supporting students and families. If a child’s behaviour disrupts their learning or the learning environment of others, we will work with the family to re-engage the child on a best-efforts basis. If, after reasonable time and effort, no improvement is seen and no suitable solution is available, Panda Mandarin reserves the right to de-register the student. In this case, a pro-rated refund minus the $50 administrative fee will be issued. The student is welcome to rejoin in the future as a new student.

Aggressive Behaviour or Harassment

Panda Mandarin has zero tolerance for abusive, aggressive, or disrespectful behaviour toward staff, instructors, students, or other families. In such cases, Panda Mandarin reserves the right to immediately remove the individual or family from the program. No refund or credit will be issued under these circumstances.

3. Program Cancellation by Panda Mandarin

If Panda Mandarin cancels a program, families will be notified at least one week prior to the start date (where possible). Families may choose either:

a full refund (no administrative fee), or
a credit toward a future program.

Absence and Make-up Class Policy

If your child will be absent, please email info@pandamandarin.ca as soon as possible (preferably at least 48 hours before class) so the teacher can be informed. Class materials will be saved for your child until their next class.
Missed classes are not refundable, prorated, or credited to future sessions. Panda Mandarin is not obligated to provide make-up classes for student absences.
Make-up classes may be offered only in extenuating circumstances (e.g., illness, curriculum night, field trip, graduation) and are subject to teacher/school discretion and class availability. Vacations, birthday parties, family events, or poor weather do not qualify for make-up classes.
If your schedule changes and regular attendance becomes difficult, we are happy to discuss transferring to an alternative class, depending on space availability.
In the rare case that Panda Mandarin must cancel a class (e.g., low enrollment), families will be notified in advance and a refund will be issued.

General Classroom Policies

Class Size & Scheduling

Panda Mandarin reserves the right to combine or cancel classes due to low enrollment. Classes will not be held on statutory holidays unless otherwise arranged in advance. Teachers will provide reminders before long weekends.
Parent/Caregiver Presence

Parents/guardians are asked to wait in the reception area or outside the centre during class time.
- For parent–child programs (Under 2, Under 4, Under 6), one parent/caregiver may join the child in the classroom as part of the learning experience.
- For trial classes, parents/caregivers may also participate in the classroom.
- To ensure safety and manage space, only one parent/caregiver per child may join the classroom for parent–child programs.
Respectful Conduct

Panda Mandarin is committed to creating a safe and welcoming environment for all students, families, and staff. We have zero tolerance for abusive, aggressive, or disrespectful behaviour toward staff, instructors, students, or other families. Panda Mandarin reserves the right to remove individuals from programs if this standard is not upheld.

Trial Class Cancellation & Reschedule Policy

Parents may change their trial class no later than 24 hours, because we’ve prepared the materials for the parent and only book limited number of trials per time slot. Emergencies would be exempt from this policy. There are no refunds for trial class fees.

To request a trial class reschedule, please send an email to us at info@pandamandarin.ca with your availabilities. We will reschedule a trial class accordingly.

Late Fee Policy

Fees must be paid prior to the first day of class to complete the registration. Spots aren’t guaranteed until we receive the payment. There will be a $50 late fee if parents fail to pay the complete fees within the first week of class.

Late Pick-up Policy

If you/caregiver arrive after class dismissal to pick up your child, you'll be charged $5 per minute for the first 15 minutes (invoiced at the end of the month). This may seem harsh but when you're late, the teachers are late and the custodians will be delayed. The money will go straight to the teachers and any custodians affected who had to stay late to wait with your child. At 10 minutes post class dismissal, we will contact you and/or your secondary/tertiary pick-up personnel to come immediately. Please make sure that we have your correct mobile phone number on file. We hope it will never get this late but beyond 30 minutes without any contact from you or anyone from your pick-up list, then we are required to call Children's Aid Society. Please note that we will not waive this fee for inclement weather, please plan accordingly.
